What is the purpose of Service Crew?
  • Provide conference attendees a way to attend the National Conference on Outdoor Leadership at a deeply discounted rate
  • Provide necessary support for the conference to run smoothly
  • Provide an opportunity for conference attendees to network and gain practical experience within the context of event operations

What will my responsibilities entail?
As a member of Service Crew you will work on-site at the conference with the Service Crew Coordinator to support the Special Events Committee and the National Office Staff .  Generally, Service Crew members assist in tasks such as: registration, selling merchandise in the retail area, assisting vendors in the set-up and take down of their booths, introducing presenters before conference workshops, collecting workshop evaluations and compiling them electronically, working during evening social events (welcome social, keynote, and auction/ raffle) etc. You will have an opportunity to denote areas of particular interest to you on the application form.
 
What are the commitment expectations?
  • contribute between of 8 and 16 hours of service to the conference between Saturday, February 19 and Wednesday, February 23.  
  • pre-register and pre-pay for the full conference (February 21-23, 2011)
  • attend a mandatory service crew meeting at 7:30 am on the mornings you are assigned to work.  
  • work at least one shift during workshop time.
  • maintain professional presence, service and support while 'on duty'
How many hours do I need for reimbursement?
All Service Crew members must work a minimum of 8 hours in order to receive a 40% refund of the conference registration fees. Service Crew members who work a minimum of 12 hours will receive a 50% refund; and those shining individuals who contribute 16 or more hours will receive a 60% reimbursement of the conference registration fees.
 
How will the hours be assigned?
Hours will be scheduled ahead of time (as much as possible) on a first-come first serve basis.  Your Service Crew Application is considered complete when we have received the application, and you have paid for your conference registration.   We cannot guarantee that all Service Crew members will be able to accumulate the hours they desire; however we will do our best to make sure that everyone has an opportunity to meet the minimum number of hours worked for reimbursement.  We will also do our best to schedule our Service Crew members based on their areas of interest/ skill, but need folks to remain flexible so that areas in need of support are covered.  

How will reimbursement work?
Service Crew members must register and pay for registration, in full, prior to the conference start. (Early Registration Prices end December 17th). Your registration refund will be based on the number of hours that you work as submitted to the National Office by the Service Crew Coordinator, Kevin Sutton.  
 
When and how will I receive my reimbursement?
The WEA National Office will send you a reimbursement check within one month of the end of the conference.
